Terms and Conditions covering all fitness breaks & events

Transactions - To complete a transaction a booking form needs to be completed with all travel requirements and arrangements. Bookings will only be confirmed when all deposits, monies have been paid.

Pricing Structure - The price paid will be shown on your receipt, by e-mail, this at times may vary from other marketing campaigns. No extra charges will be made with the exception of any government-imposed increase in taxes or fuel supplements imposed by transport providers.

Payment - Full payment needs to be made to confirm booking, please see the cancellation policy (6)

Booking Amendments - If you wish to make any changes to the booking we will do our upmost to accommodate providing it is in writing 6 weeks prior to departure. Any alteration within 6 weeks will be treated as a cancellation.

Room sharing (marathon packages) - If your travelling alone and don’t want to pay a supplement for single occupancy, subject to availability we can pair you up. You will need to inform us in writing of your request. Note, laws stipulate that we cannot give any details of the person that you will be sharing with.

Cancellations - If you decide to cancel your booking the following applies;
6 weeks and above commencement day - 50% refund
4 weeks and above commencement day - 25% refund
Please note that outside of the above dates then no refund will be given.

Insurance - We strongly recommend taking appropriate insurance to cover all elements of your holiday package, whether this is a package or ‘dynamic’ package holiday. We highly recommend that you ensure your insurance covers all elements of your fitness break, double check once you have received your online fitness program.

Injury - Fitness breaks cover many activities and some sports and activities carry a risk of injury that is beyond our control. We give advise on training and competing to avoid injury however cannot be responsible for the actions of each individual. We strongly recommend taking sports insurance which will give you adequate cover in the event of an injury.

Service - If you incur any problems with our service you must inform us whilst on your fitness break where we will endeavour to rectify any service failures.

Compensation - Compensation will not be paid for cancellation of services due to flight delays, industrial disputes, adverse weather or other circumstances amounting to force major.

Minimum Numbers - Some events require minimum numbers to operate; we reserve the right to cancel. We will not cancel less than 4 weeks before departure. In the event of a cancellation we will return all monies or offer an alternative.

Service Failures - Elements of the holiday that are booked independently, which could be flights, accommodation & transfers, are provided by a third party and as such their own terms and conditions apply. Service failures are the responsibility of each individual supplier.

Event Content - Descriptions of tours and services we provide are in good faith and every care is taken for accuracy. Tours and services are planned well in advance hence their may be changes. We will endeavour to communicate any changes however cannot be responsible for tempory withdrawal due to maintenance, unstable weather or lack of support. Items that are included in our tours and services are listed on the website.

Running Events – The running (marathon) events are administered and operated by a third party and therefore carry the terms and conditions of the organiser.

Cycling Tours – We provide a variety of tours, all with quality road bikes and provide safety helmets that must be worn at all times. We provide a safety briefing before each departure point and advise on the route. As some routes are through mountain areas and rural roads then each client must take responsibility for their own actions and respect the conditions and risks involved.

Fit Tests – As part of all Fitness breaks a detailed fitness test will be carried out before any activity is undertaken. If there are any health concerns at this stage then we reserve the right to adjust the pre agreed activity program and in extreme cases refer to a doctor. This would be at the expense of the individual. All information regarding personal fit test data is stored in the private members area of www.vivasportsevents.com

Third Party Suppliers – The website contains links to third party sports and service providers. Although due care is taken with the selection of third party suppliers we cannot be responsible for the service provided.

Health – For health regulations check your local post office or the department of health for any updates.

Travel Documents - Passport, it is your responsibility to ensure all your documents are in order, refer to www.passport.gov.uk

Competition Rules - You will not compete or copy the services and events that are marketed on the website for a period of 5 years.
- Law - Spanish Law governs the enclosed terms and conditions covered.
